FAQ:

What dates are still available? How can I schedule a site visit?

We are still booking for July-October of the 2022 season! Our Events Coordinator is happy to give you a tour of the venue at earliest convenience. Contact us at events@philashipguild.org to schedule a tour and find out our most up to date availability.

Is Gazela wheelchair and ADA accessible?

Due to the nature of our unique venue, we are not ADA accessible.

Do you allow smoking?

There is a no smoking policy aboard Gazela.

What is the rental fee and what does it include?

The rental fee varies on the type of event and when it is being held. The rental fee includes the venue space on the ship itself, the coinciding number of ship safety staff members to comply with Coast Guard Regulation, and any additional amenities you need such as tables and chairs. Please contact us at events@philashipguild.org to find out more.

What’s the maximum number of guests the site can handle?

We can successfully accommodate up to 145 guests at events without seating. For seated events, a maximum of 120 guests.. *Please note: additional external staff brought aboard for your event will have to be factored into the total headcount so that we can remain in compliance with Coast Guard safety standards (at maximum safety capacity 150 civilians, 10 seamen).*

How many hours does the rental fee reserve the space? Are there any charges for overtime?

The rental fee reserves the space for the contractually agreed upon amount of time, based on the needs of your event! A standard guideline for a wedding reception is 4 hours for set up, 5 hours reception, and 2 hours for cleanup, but we tailor every contract to best suit each client’s specific needs. Should your event require overtime, we reserve the right to charge a modest additional fee on a case-by-case basis.

Will the site be shared with another rental group?

The venue will be reserved for only one group per time slot.

Can I choose my own caterer?

Our guests reserve the freedom to select all of their own vendors outside of our partner list, if they prefer. If you decide to select your own personal caterer you are required to pay any of their additional vendor’s fees. It is highly recommended that clients select a caterer from our preferred vendors list, composed of catering partners who have an established relationship with Gazela, and are familiar with the facilities and the required rules and regulations of our unique venue. Contact us to hear about our partner's services.

Can we cook onsite?

No, we do not allow onsite cooking. All food needs to arrive fully cooked and ready to serve. We can only offer a kitchen prep space, equipped with a refrigerator, freezer, microwave, sink and countertops. Due to the nature of our unique venue as a sailing vessel, our kitchen is not outfitted to support cooking on-site.

Can I bring in my own alcohol?

We allow BYO events aboard. However, if there will be alcohol purchased or served at your event, an alcohol catering permit must be completed, approved, and submitted to Management at least 2 weeks prior to your event. Our Events Coordinator will help file if your event needs these accommodations.

Are there limitations on decorations?

Nothing may be permanent or harm the ship. You are welcome to decorate the reception hall to fit your needs with any removable decorations. No nails, staples, tapes or glues that leave a sticky residue. Open flame candles are not permitted.

Can I drop items off on Thursday for my event on Friday?

This will be negotiated on a case-by-case basis, and depending on the ship’s storage availability and bookings for the surrounding dates, we will try to accommodate you. However, all items must be taken off the property when your event comes to an end.

How do I reserve Gazela for my event?

To secure your date, a 30% non-refundable deposit is required, along with a signed contract. 7 days prior to your event, the remaining balance is required.

Is there a cancellation fee?

If you cancel your event, there is no additional fee, however your deposit WILL NOT be returned. You are welcome to choose another date if available, but will be charged an additional fee to rebook.  We understand unforeseen circumstances happen, and we reserve the right to use judgment to handle them on a case-by-case basis. All cancellations must be submitted in writing or by email. You may not cancel over the phone or via voicemail.
